Getting Around the Conference

SERMACS/SWRM will occupy conference space in 3 buildings at the Doubletree resort. Please refer to the information and map below:

Main Building:
  • Hotel Check-In
  • Oral Session Rooms: Citrus B, Cypress A/B/C, Magnolia A/B/C
  • Ticketed Breakfast/Lunch (Citrus A)
Tower Building
  • Oral Session Rooms (First Floor): Flamingo, Nautilus A/B/C
  • Oral Session Rooms (Second Floor): Harbor A/B/C, Pelican
Expo/Poster Building
  • Conference Registration – Outside Majestic Ballroom
  • Grad Fair (Sunday) – Majestic Ballroom

Poster Presenters

  • Poster sessions (each 2-hours) are held on Sunday (10AM, 2PM, and 7PM), Monday (10AM, 2PM, and 7PM), and Tuesday (10AM and 2PM) in the Majestic Ballroom
  • Please plan to hang your poster by the start of your session. You will have access to the Poster Hall at least 30 minutes in advance; i.e., by 9:30AM for a 10AM poster session.
  • Please promptly remove your poster at the end of your session.
  • Each poster board is 8’ (wide) x 4’ (tall); please be sure your poster does not exceed these dimensions.
  • Each poster board will be numbered and we will provide push-pins for hanging posters.

Oral Presenters

  • Please arrive at your session 30 minutes in advance to check-in with your session presider and confirm the technology needs.
  • Laptops will not be provided in the room; Session presiders have been asked to bring their own laptops, however you may also bring your own laptop. Be sure to bring your presentation on a USB stick as backup
  • The room will be equipped with HDMI hookup for laptops; ensure that your laptop is compatible with this connection, or please bring an appropriate adaptor
  • The room will also be equipped with: clip-on mic for presenter, handheld microphone for presider and audience; speaker and 8’ screen; and wireless slide advancer with laser
  • There will be “floating” technical help in each building to assist with any issues. There will be a card located at the front of your session room with a phone number to call for immediate assistance

Arriving at the Doubletree

  • Hotel Check-In is located near the entrance of the main building
  • Complimentary parking is provided for those who have booked their room through the SERMACS/SWRM hotel block
  • For those not staying at the conference hotel, on-site self-parking is provided at $38/day. Please note that while In/Out Parking is available, you will be charged $38 each time you leave.

Food & Drink at the Conference

  • The hotel offers several on-site dining and drink options. Please see the hotel website for more specific details
  • We will offer several ticketed meals including breakfasts and luncheons. Please check our Schedule at Glance page for more details. Tickets for these events can be purchased through the ACS registration portal
  • We will host complimentary coffee hours each day from 10-11AM and 3-4PM. Coffee stations will be set up in each building so you don’t need to venture far from your activities
  • We will host receptions on Sunday and Monday evenings (6:30-9:30PM) in the Expo/Poster Building. These will include complimentary hors d'oeuvres and drink tickets. Poster sessions will be held concurrently from 7-9PM, so grab a snack and drink and mingle with the poster presenters! Please be sure to register (for free) for these events when you register for the conference!
